The purpose of this agreement is to establish a PhD Advisory Committee (PAC) for the doctoral student aforementioned, and to define the expectations and responsibilities of the Parties: The document is to be filled out within three months of joining CCMAR Doctoral School, prior to the first PAC meeting.

The PhD experience with CCMAR Doctoral School

CCMAR Doctoral School is the research training group for all PhD candidates conducting research in CCMAR. All members of CCMAR Doctoral School must be registered in a university awarding the PhD. CCMAR Doctoral School acts as a platform, that provides an environment and tools for

excellent research and career development. CCMAR Doctoral School strives to provide training and support for doctoral candidates in a stimulating environment. The supervision program of the CCMAR Doctoral School aims for balanced relationship, active exchange between diverse experts, and guaranteed support and innovative solutions.

PhD thesis, supervision and advising

Supervision: Each doctoral researcher of CCMAR Doctoral School must have at least one supervisor affiliated to CCMAR. The supervisors provide the day to day supervision, advising, and orientation.

CCMAR Doctoral School provides the supervisors with resources to improve their performance (e.g.

facilitation, expectation form, dedicated training).

Advising: The purpose of the PAC is to provide external vision and advising, and to create strong link between the PhD candidate and external senior researchers, during regular annual meetings. The PAC is composed of the supervisor(s), the CCMAR Doctoral School representative, and two to four advisers. The advisers are jointly chosen by the doctoral researcher and the supervisor(s) at the start of the PhD. They may be researchers or business professionals, have different levels of seniority and come from different national or international institutions. Each adviser can provide different points of view, different options and opportunities. Thus, the diversity of background, seniority and expertise within a PAC is recommended. The PAC composition can slightly vary over the course of the PhD; this form must be revised ad hoc.

The objectives of PAC process are:

- To discuss science with experts and develop critical thinking;

- Let the student take a wider perspective on its work, compared to their main field of research, the research backgrounds of the advisors, and the strategy of CCMAR;

- To update all advisors about the work progress and the future work compared to the initial plan;

- Identify and discuss difficulties, solutions and rank priorities;

- Provide alternative critical views on the project and thus raising unexpected opportunities;

- Cement and strengthen relationships between student, supervisor(s) and advisors.

In addition, the doctoral researcher can ask advice from the PAC in all aspects of career planning.

The format of the meeting is the choice of the student as long as it fosters discussion (see PAC meeting preparation - advising guidelines). Time can be dedicated for the advisors to meet only with the student and only with the supervisor(s). The content of the meeting, the data and the documents of preparation can be kept confidential upon demand of one member. The PhD

candidate is free to share documents ahead of the meeting and is encouraged to share minutes or a report after the meeting.

The first PAC meeting should happen within three-months of the start of the PhD. Following the first PAC meeting, the PAC will meet at least once per year. It is the responsibility and the obligation of the PhD candidate to organize the PAC after maximum 12 months since the previous one.

Ethics and data managements

The PhD candidate and the PAT commit to follow the principles and requirements of the European Charter for Researchers and the European Code of Conduct for Research Integrity, endorsed by CCMAR.

Additional Remarks

In a conflict situation between any parties, the PAC must try to resolve it. Alternatively, the Parties can appeal to the CCMAR ombudsperson who will assist in solving the conflict.

This agreement shall be effective for as long as necessary for the work carried out under the performance of this agreement, from the date of final signature.

It may be modified or extended by mutual written agreement by the Parties.

This agreement may be terminated by either party upon one (1) month advance written notice.
