Approving the submission of a fellowship request

Except for a few specific modalities, the people involved in a fellowship request are the Beneficiary and the Principal Investigator (PI)

There are three possible situations for this kind of proposal:

 If the Beneficiary is the one who created the proposal in SAGe, the Principal Investigator must also approve the submission

 If the Principal Investigator is the one who created the proposal, the Beneficiary must approve also the submission

 If the proposal is created by anyone else, both Beneficiary and Principal Investigator must approve the submission separately

When a proposal is submitted in SAGe, a mail message is sent to both (Beneficiary and PI) reminding them to approve the submission. This message is sent by “[email protected]” with subject ”[FAPESP] - Proposal Pending Approval for Submission”.

The Beneficiary and the PI must follow the instructions contained in this message, to ensure the proposal is effectively submitted to FAPESP.

Then follow the step-by-step instructions to approve the proposal.

To login into SAGe, open your web browser (IE 7 or higher, Firefox 14 or higher, Chrome 20 or higher) and access http://www.fapesp.br/sage

The following screen will appear:

Enter your Username and your password, and click on .

If your username and password are correctly entered, you will be able to access the system.

To approve (or not) the submission of the fellowship request, you will need to access the option “My Proposals” under the “Proposal” option of the main menu, or link “My Proposal” in “Shortcuts”.

The system will show the list of proposals in which you participate (either as Beneficiary or as PI) Locate the proposal that you have been requested to approve, and click on link “Funding Line”.

In such a case, you have to justify why you do not agree with the proposal’s submission, and then click on . Once this operation is performed, the proposal will not be submitted, and will receive status “Not submitted because someone rejected the proposal”, as shown on the following screen copy:

5 Moreover, the other participant in the proposal (Beneficiary or PI) will receive an email message from [email protected], with subject “[FAPESP] - Proposal Rejected”, to notify him/her that the proposal was not effectively submitted. If the person who rejected the proposal was the Beneficiary, the message’s content will be the following

If the option “No” is selected, the following message will appear

In this case, the proposal will NOT be submitted. You will need to update your personal information following the links indicated. Once you update this information, you can restart the procedures to approve the proposal, following the steps indicated previously.

If the option “Yes” is chosen and the person who created the proposal is not the beneficiary or the principal investigator (and only in this case), such information is shown and a new submission confirmation is

required:

The proposal´s approval process will only continue if the option “Yes” is selected.

The next step in the proposal´s approval is shown below:

This final click will conclude the submission of the proposal to FAPESP, and you will receive a receipt certificate of this submission, as shown below:

Please notice that, at this moment, your proposal will have become a “Process”, whose number will appear on the screen. This number will appear from now on in the list of your proposals, as shown below

Approving the submission of a research proposal

These instructions correspond to a situation in which a research proposal is prepared (and submitted) by a person who is not its Principal Investigator (PI).

If the person who prepared the proposal submits it, then its status will be marked as “Pending approval – all parties must approve the proposal”.

As soon as that person submits the proposal, the PI will receive an email message reminding him/her that it is pending approval. This message will be sent by “[email protected]” with subject”[FAPESP] - Proposal Pending Approval for Submission”.

The PI will need to follow the instructions contained in that mail message to approve the proposal. [The PI will need to follow the instructions contained in that mail message to approve the submission of the proposal]

As soon as the PI approves the submission, the proposal’s status will change to “Submitted”.

There follow the step-by-step instructions to approve the proposal.
